Dear Colleagues:

As we approach winter break, I’ve included a few items to consider for the New Year.

Benefits enrollment update

Employee Direct was initially offered as an option for submitting benefit elections during the 2018 VCU winter closing. The state system, Employee Direct, is currently down with no projected return date. Because of the outage, employees submitting elections during the winter closing will be required to submit by a date-stamped fax to ImageNow at (804) 827-8250 or email to hrdocs@vcu.edu to verify meeting the election deadlines. Please do not submit elections or documentation through VCU campus mail during the winter closing.

Notice to employees with covered children

Employees carrying health coverage for children who turned age 26 during 2018 were mailed information confirming that these children will be removed from coverage after December 31, 2018. The notice includes information about Extended Coverage (COBRA) for children who are removed and the opportunity to use the removal as a qualifying mid-year event to make allowable changes to health coverage and flexible spending. Unless the employee wishes to make health plan or flexible spending changes concurrent with the removal of a child, no action is required on the part of the employee. Premium adjustments, if any, due to a child’s removal are automatically processed by payroll and become effective with the January 16, 2019 paycheck.

Job summary tool

VCU HR launched a job summary tool for VCU employees to view information on job families, job series, salary ranges and comparison data for other positions.

Employee Visas

VCU employees use three types of visas:

  • F1 Student Visas allow full-time students to work for the university they are attending
  • J1 Visas allow individuals to work for an approved program where they teach, study, or participate in research
  • H1B Visas allow foreign workers to work in occupations that require highly specialized knowledge in a specific field

Employee W-2 forms

Employees are encouraged to log into myVCU eConsent and ensure their home address is correct for Form W-2 mailing. Employee Form W-2 documents will be mailed on or before Jan. 31, 2019.
