Dear HR colleagues,

Please note the updates below.

Women Veterans Month

March is both Women’s History Month and Women Veterans Month. The Virginia Department of Veterans Services will be honoring our women veterans through a variety of different events. Review the attached 2020 activities flyer for the week of March 16-20 and share with employees in your area. We encourage all schools and units to consider participating in honoring our women veterans throughout the month of March.

RealTime designee system

RealTime has been updated with an online self-service portal for supervisors to manage designees. The system no longer requires managers to complete the RealTime Exception Designee form. Please note that the VCU RealTime full designee request form is still required to appoint a full designee. This new online portal allows managers to assign and remove designees in RealTime. To assign a designee, managers must be listed in Banner. Visit the RealTime page in Inside HR for instructions on assigning and removing exception designees.

Compensation for non-exempt employees

As a reminder, hours clocked in and out by the employee should not be adjusted by the manager or timekeeper, unless an error was made and the employee is aware of the correction in writing. Please note:

  • Per the Fair Labor Standards Act (FLSA), non-exempt employees must be compensated for all hours worked, including hours worked over 40 in a workweek or receive overtime leave accrual, if a signed agreement is in place
  • Timekeeper’s role is to enforce policies, provide guidance to managers, and review hours worked in RealTime to ensure employees have the appropriate number of work hours recorded
  • Timekeepers should review employees’ recorded hours worked, and leave requested/taken, to ensure policy compliance

IRS Free File

Taxpayers whose adjusted gross income was $69,000 or less in 2019 may utilize IRS Free File. Everyone eligible for the Earned Income Tax Credit qualifies for IRS Free File. This system allows users to file their taxes using free, easy to use software for federal and some state returns. Taxpayers whose income was more than $69,000 may utilize free fillable forms for filing their tax return.

As always, thank you for your continued commitment to human resources at VCU.

Best wishes,

Cathleen C. Burke
