As we prepare to capture our employee data on June 30th for the annual university affirmative action plan, we ask for your assistance to ensure the demographic information is as complete as possible. What we ask is that you simply remind employees of the need for this information and how they may provide it.

Employees can provide their sex, race and ethnicity, disability status, and veteran status using the Human Resources Personal Data FormDisability status and veteran status also can be updated online through eServices. The type of information collected and the categories for self-identification are determined by the federal government. The explanation of race and ethnic categories is available here.

So that you may effectively and easily partner in this effort, we provide the following reminders and guidance:

  • Self-identification is voluntary; employees must not be required to submit this information to the university. The best practice is to issue a general reminder about the opportunity to self-identify to all employees in your areas. Employees must not be individually approached about missing data or pressured to self-identify.
  • This information is used to conduct data analysis for federal affirmative action planning purposes. As a federal contractor, the university is required to conduct this analysis. The analysis also enables the university to track its progress in the recruitment and retention of individuals from diverse backgrounds, thereby supporting efforts to enhance the diversity of our workforce.
  • If employees have any questions about self-identification, they may contact Equity and Access Services at equity@vcu.edu.
