There are a few time-sensitive reminders we want to share with you this week. Please communicate this information with employees as needed and contact Human Resources with any questions or concerns. As always, thank you for your good work and partnership.

Leave Amendments
Please do not key late leave for 2015 after the pay period ending
January 9, 2016. If you have leave adjustments for 2015, you may use the amended leave form at https://www.pubapps.vcu.edu/hr/arf/default.asp.

Estimating Hours
As a reminder, it is a violation of VCU policy to project or estimate work hours. Do not submit time for employees if there are no hours worked or if there is no leave to report. Enter only leave taken or hours worked. Employee timesheets with no entry will remain “in progress” and will be paid by default. FMLA
If you have an employee who was on FMLA leave in 2015 and will continue that leave status in 2016, a new FMLA form must be completed for the new year and sent to Leave Administration by faxing to ImageNow at (804) 827-8250 or emailing hrdocs@vcu.edu by Wednesday, January 27, 2016. Appropriate documents may be found at http://hr.vcu.edu/payroll-and-leave/leave/family-and-medical-leave/.

Leave Share
The VCU Leave Share program allows employees to donate leave to fellow employees who need additional coverage while using approved family or medical leave under the federal Family and Medical Leave Act (FMLA). The deadline to donate leave is Wednesday, January 27, 2016. For more information, visit http://www.hr.vcu.edu/payroll-and-leave/leave/classified-staff-leave/#fifteen.

EWP
Updated Employee Work Profiles (EWPs) are now due for the next review cycle (2015-2016). Please have your managers/supervisors complete the following actions:

  • Friendly Reminder: If not already done, please add the following Code of Conduct (formerly, Code of Ethics) competency under the “Objectives and/or Competencies” section of the EWP: Demonstrates respect, honesty, excellence, responsibility and accountability; stewardship; compliance; and a commitment to integrity and ethical behavior by example in his/her day-to-day activities.
  • Complete any needed revisions to EWPs.
  • Review any changes to the learning goals for the coming year.
  • For all employees, print a copy of their EWPs, obtain new signatures and retain signed copies within the department.
  • Submit EWPs to HR through eJobs.
