Tech Tuesday- July 11: New “Patient Folder” workflow
TechTuesday
A weekly tip email from your neighborhood Instructional Technology and eHR team.
One tip today because this one is worth two!
Tip #1 – With the transition to doing more digital dentistry, we all need to be comfortable with storing and moving around CBCT and STL files. A common example is one of our Predoc grant implant cases. CBCTs and STLs are acquired in different locations, when ultimately, those files need to get into a treatment planning software like REALGuide. This leaves students, faculty, and staff running around wondering where these files are, who has them, where are they stored and how can they move them around.
Recently, IT deployed a new link in axiUm that can help with all of this. With that, I present to you…

Patient Folder is a centralized repository for any image related to a patient, mainly CBCTs and STLs. This is now on the left menu of axiUm for everyone. With a patient selected, clicking this will open Windows File Explorer to a folder dedicated to that current patient and it is here that we can store every CBCT and STL so all have easy access. In that folder, you will see 3 subfolders.

This is a Windows File Explorer, in which you can move stuff around. We need to be on the same page regarding how we use these folders.
Original – This is truly used for just the original scans. When a CBCT or STL is acquired, best practice is to immediately put it in here, in case that patient’s images are needed by other providers.
Working – Use this folder with discretion. If it is in here, it is a work in progress. This folder includes images that are being manipulated and annotated.
Final – Use this for images that have been altered past their original state but will no longer be changed.
In case you need a demonstration of migrating large files within Windows Explorer, here is a quick video that shows opening Patient Folder and migrating images to it.
