Dear Colleagues:

You are among the more than 1,600 employees transitioning to the new HR plan on July 1, 2018. VCU Human Resources has prepared a variety of resources to support you throughout this change. Specifically, you are encouraged to learn more about how your leave balances will transfer and how you can use leave in the new University Leave plan.

Please note the following:

  • Starting July 2, 2018, the new leave code, called University Leave, will be available for you to use in VCU RealTime.

  • If leave has already been submitted and approved in VCU RealTime for June 25 (the start of the pay period for which University Leave begins) or later, VCU Human Resources will update it to reflect the new University Leave code and no action is required on your part.

  • Upon conversion to the University and Academic Professionals employee group, existing leave balances are credited toward new University Leave balances, though employees in the Traditional Sick Leave Plan will have sick leave banked separately for future use. It is important for you to understand your current leave plan, as well as your current balances, to anticipate exactly how your leave will roll over. Please carefully read the following for details: hr.vcu.edu/current-employees/leave/university-and-academic-professionals/conversion-to-new-leave-plan/.
  • You can check current leave balances in your my.vcu.edu portal.

Remember, the new University Leave plan gives you access to leave up front even though you have yet to technically accrue it. This is especially important for employees who leave employment with VCU as used leave that is not yet accrued, if any, must be paid back to the university upon separation of employment (see managing leave for more information). VCU Human Resources will provide tools to help you manage this new approach to using leave.

Thank you for taking the time to become familiar with this information. Please contact your HR Professional with questions. This is an exciting time for VCU and, as always, we appreciate your partnership and support.

All my best,

Cathleen C. Burke
Assistant Vice President for Human Resources
