Dear Leader,

We know that it is important to encourage our employees to use their leave throughout the year; employees who regularly take leave are often healthier, happier and more productive. Every year, VCU Human Resources audits leave usage to better understand how our employees are using and reporting leave. Annual audits also support ongoing leave reporting compliance efforts. As you know, accurate and timely reporting of leave is required by VCU’s Leave and Time Reporting policy.

Attached please find a report for faculty and staff in your area who have not reported any annual leave for the last leave calendar year: January 10, 2017 through January 9, 2018. Most university employees use and report leave in accordance with university, state and federal guidelines. Unreported leave, however, exposes the university to serious liability, as leave balances often carry a significant cash value. Reports like this help us anticipate expenses associated with leave and address leave liability issues before they arise.

I write to ask that you work with managers and employees in your area to determine whether the leave in the attached report was not used or if it was used and unreported. Please share your findings with managers in your area or those who have the important role of enforcing leave reporting and record-keeping policies and procedures.
