We are approaching the final phase of our Google Domain Merge project. This final phase will affect Spring 2021 graduates and currently enrolled students. See below to see how this will affect each category and for additional information for Faculty and Staff.

Currently Enrolled Students

Current Enrolled Students:

  • Will begin signing into their new eID@vcu.edu accounts on May 17 
  • Will no longer be able to access their old eID@vcu.edu accounts on May 17. If you need to request access due to an extenuating circumstance, submit this form.
  • When signing in at gmail.com, will use their new eID@vcu.edu email address instead of the eID@mymail.vcu.edu address

Beginning on May 18, a final sweep of your Google Drive data will occur to bring your vcu.edu account up to date with any changes made in Drive in your mymail.vcu.edu account since the initial migration phase. During this time, current students should not make changes in Google Drive as any changes may be overwritten and result in a loss of data.

A notification will be sent out to indicate the completion of the migration, at which time current students may begin fully using and working in their new vcu.edu accounts.

Spring 2021 semester Graduates

Spring 2021 semester Graduates:

  • Have already received an initial email containing the login information for their new alumni accounts on May 7 and will receive another notification on May 16 with the same information.
  • Will begin to have their email redirected to their new alumni.vcu.edu account on May 16 unless they are also a VCU or VCU Health System employee.
  • Should begin to migrate any data starting May 18. The window to migrate data is from May 18 to July 31. On July 31, the mymail.vcu.edu account will no longer be available.
    • The School of Dentistry has an established policy that prevents students from migrating data from their account. This policy is necessary to prevent potential widespread HIPAA violations.

Important information for Faculty and Staff

As a result of our domains merging, Students, Faculty and Staff alike will enjoy some key benefits from this change:

  • All Student, Faculty, and Staff email addresses will end in “@vcu.edu”. This means no more figuring out if you should send emails or share to mymail.vcu.edu or vcu.edu.
  • Email and calendar delegation becomes much easier
    • Secondary calendars will now also be able to be shared with students at their @vcu.edu address.
  • Google integration will become simpler as students authenticate with their vcu.edu address.
  • Google Chat rooms not previously configured to allow external users will now be able to add students to the rooms by their @vcu.edu address.
  • Dual-role students/employees use only one Google Workspace account for both, so no more hassle of juggling two accounts or worrying about loss of access when you leave one of the roles.

Please note the following additional information regarding this change:

  • Duplicate files may appear in Google Drive under “Shared with me”. This is expected behavior and will resolve itself after the final migration sweep during the week of May 17.
  • When adding students to calendar invitations and sharing Google Drive files with students, use their vcu.edu address.
  • You do not need to update your mymail.vcu.edu contacts to vcu.edu as email will still continue to be delivered to the mymail.vcu.edu address, but you may choose to if desired.
  • When sharing with “Virginia Commonwealth University” in Google Drive, this now includes Students. Previously this was misleading, but will now include Students.
  • No action is necessary to update mymail.vcu.edu addresses in Google Groups. A process is in place to update this for all Google Groups automatically.
