Personal Vehicle Use for University Travel: Updated Guidelines
Effective February 11, 2026, VCU has implemented the GSA Privately Owned Vehicle (POV) rate for certain travel reimbursements. Use of a personal vehicle for official university business that is based primarily on convenience, personal comfort, or individual preference will be reimbursed at this reduced GSA Mileage Rate.
Things to Know:
- Personal Vehicle Rate (Out-of-Policy): Use of a personal vehicle based solely on personal preference, comfort, or convenience is considered “out-of-policy” and will be reimbursed at the reduced GSA POV rate of $0.205 per mile.
- Cost-Benefit Requirement: Per the VCU Travel Guidelines and Procedures, travelers must use the most direct, practical, and economical transportation available. To ensure efficient use of university funds, travelers are encouraged to use university-contracted rental car vendors (such as Enterprise/National or Hertz), particularly for trips exceeding 200 round-trip miles
