VCU Procurement Services

Fostering a community of financial advocacy at VCU!

We all love a good discount. And when you’re booking travel for University business, our contracted corporate codes are there to help you secure preferred rates and built-in protections.

But here’s the important part:

University corporate discount codes are for official VCU business travel only.

Using a business code for personal or leisure travel may seem harmless — but it creates serious financial and legal risk.

Why It Matters

Our contracted rates include insurance protections that apply only when the travel is authorized and business-related. If a corporate code is used for personal travel and an accident occurs, those protections do not apply.

That means:

  • VCU’s insurance will not provide coverage
  • The traveler may be personally responsible for damages and legal costs
  • Additional administrative or disciplinary action may follow

That’s not a situation anyone wants to be in over a weekend getaway.

Booking Personal Travel?

If you’re planning leisure travel, you still have options.

VCU employees can explore the VCU Discount Marketplace or the VCU Alumni Relations benefits page for appropriate personal travel discounts. Those resources are designed specifically for non-business travel.

The Bottom Line

Corporate codes are a business tool — not a personal perk.

Using them correctly protects you, protects the University, and ensures our travel agreements remain compliant and sustainable for everyone.

If you’re ever unsure about which code to use, reach out before booking. It’s always easier to clarify upfront than to unwind a problem later.
