Zoom’s Cloud Recording feature has now been approved for VCU Zoom users whose departments or business units are assigned to the “HIPAA” sub-account. Cloud Recording was already enabled for departments that do not deal with HIPAA-regulated data in their normal operations.

Please note that Zoom Cloud Recordings made by HIPAA sub-account members will not be automatically backed up to VCU’s Kaltura video server for long term storage, due to Kaltura’s non-compliance with HIPAA standards. As a result, users on the HIPAA sub-account will have access to their Zoom Cloud Recordings for the standard 60-day retention period, after which the files will be automatically deleted, with no automatic backups made. Users who wish to retain their recordings for a longer period will need to download the files within that 60-day window for storage elsewhere.

IMPORTANT: If in fact your recording does include PHI or other HIPAA-regulated data, please DO NOT upload it to VCU’s Kaltura server for long-term storage, as Kaltura is not HIPAA-compliant.

To take advantage of Cloud Recording as a user/host, log in to your account page at vcu.zoom.us and go to “Settings > Recording.” Look for the “Cloud Recording” tab and make sure it’s enabled. Note that many options are available to you, including the ability to create multiple files for each meeting (including separate videos of the host view, gallery view, and shared content), create transcriptions for your recordings, and more (see the last tab on this page for information on how to generate transcriptions). Please take time to review your options and make sure your account is configured to best meet your needs.

A list of your completed Cloud Recordings can be found under the “Recordings” tab on your account page. You can trim your video before sharing it with others and edit the transcript as needed. All related files can be downloaded for saving.

If for any reason you do NOT wish to have Cloud Recording enabled on your account, go to “Settings > Recordings > Cloud Recording” and use the provided controls to disable the feature.
