All previous mymail.vcu.edu accounts, now archive.mymail.vcu.edu, will no longer be available starting January 3rd, 2022. On that date, no further access to these accounts will be able to be granted. 

This change will impact not just students but faculty and staff members as well. Please see below to see how this may affect you.

Current students with archive.mymail.vcu.edu accounts

Current students who were not employees and took classes in the Spring 2021 semester automatically had their data transferred in our Domain Merge. No action should be needed to migrate additional data unless files were added or modified under the archive.mymail.vcu.edu account. More information about this migration group can be found here

Current students who were also employees OR did not take Spring 2021 classes did not have their data automatically migrated. These students were notified of the steps to take to migrate their data and deadlines were communicated accordingly. More information about the self-migration group can be found here.

Any new files created or updates made to files in the archive.mymail.vcu.edu account after the data migration was completed must be copied to the vcu.edu account before January 3, 2022 to avoid loss of data. Copies can quickly be made by right-clicking the file in Drive and selecting “Make a copy.”

Alumni with archive.mymail.vcu.edu accounts

Graduates of the Spring 2021 semester were notified of their new accounts in the alumni.vcu.edu domain and were provided tools and a deadline to transfer their data. More information about Spring 2021 graduates in the Domain Merge can be found here

Any new files created or updates made to files in the archive.mymail.vcu.edu account after the data migration was completed must be copied to the alumni.vcu.edu account or a personal Gmail account before January 3, 2022 to avoid loss of data. Copies can quickly be made by right-clicking the file in Drive and selecting “Make a copy.”

Faculty or staff with Drive files owned by archive.mymail.vcu.edu accounts

We strongly recommend all faculty and staff review and verify they are not actively editing files still owned by archive.mymail.vcu.edu accounts. 

  1. Search your vcu.edu account first and determine if any important files are owned by an @archive.mymail.vcu.edu account. You can determine a folder or file’s owner by right-clicking the file and clicking “Share”.
    • If a folder or file is owned by an @archive.mymail.vcu.edu account, determine if it has already been migrated. 
    • If a folder or file has not yet been migrated, copy the file or files by selecting them, right-clicking them, then selecting “Make a copy”. You can copy an entire folder by right-clicking it, clicking “Download”, unzipping the .ZIP file, then reuploading the folder. 
    • For assistance with migrating a large amount of files, you can contact [email protected] for migration assistance of the data into a shared drive.
  2. Right click the version of the file or folder owned by the @archive.mymail.vcu.edu account and click “Remove” to prevent confusion when editing.
