How will Portfolio be rolled out?
This system contains 3 phases. Phase 1 is the Activity Entry phase: you will upload your activities to your Portfolio and can generate documentation. Phase 2 is the Evaluation phase: new sections will be released in 2023 that contain the faculty evaluation process, including annual goals and expectations. Phase 3 is the Reports phase: tools for reporting and data analysis will be built to support the faculty, supervisors, department, and school.  

Why are some of my activities indented on my CV and others are not?
Some activities categories have subheaders and some do not. If there are subheaders, then activities on the generated document will be indented further than those that do not have a subheader.

Could a mass-import tool be added for presentations and posters?   
We have added this to our list of potential future enhancements.

Can I use the Description section to list multiple years worth of activity data for one activity type?
Even though you can, you probably shouldn’t. For example: if I add one activity entry under Mentoring, and then list all the students I’ve mentored and the years I’ve mentored them in the Description of that entry, I will run into multiple issues. First is that the Description field does not recognize a new line entered, so the list will run together like a paragraph. This does not look good on any of the generated documents. Second, I will not be able to accurately use the date parameter tool when generating a document; since there is only one mentoring activity, there is no way for the system to include or exclude any of my mentoring entries, since they are all together in one entry’s description field. This will make it more difficult for your supervisor to accurately evaluate your work during the annual evaluation period. It is best practice to add one entry for each activity that you want to log – in this example, we suggest adding one entry for each student you mentor. 

What is Effort?
Work or the proportion of time spent on any professional activity (activity done for, or at the request of VCU, as a result of a person’s position held at VCU) and expressed as a percentage of total time. Total effort for an employee always equals 100%, even if the appointment is less than full time.

What is work distribution?
The way your work time is divided among the major promotion & tenure categories (teaching, research, service, administration)

What are expectations?
The major responsibilities of a faculty position for the coming year and evaluated the following year

What are goals?
Goals are what a faculty member wants to accomplish over the coming year

How do I attach my CV-SOM to my P&T account?
The SOM Help article P&T Process: Creating a Curriculum Vitae outlines the process for uploading your CV to your P&T account.

I’ve uploaded a CV to my Documents section in Portfolio, but I can’t find it from my P&T account. Why?
An original CV-SOM is the only document type that will show up as an option in your P&T account. If you’ve uploaded any other document from your computer into your Documents section, even if you label it “CV – SOM,” it cannot link to your P&T account. You must save a CV – SOM to your Documents page directly from the Portfolio Profile page as described in the P&T CV Process user guide.

Does our OPA and Ramspot information need to be manually entered?
Ramspot and OPA information will come through on a nightly basis, and appear in your queue. You will still need to enter into the OPA system since that’s a university system that routes your entries for approval.

I’m not seeing my MCVP-only faculty in Portfolio. What do I do?
Because of how they are listed in Banner, MCVP-only faculty are not able to be automatically added to Portfolio. You will need to find and add them using the User Management tool.
