We are beta testing a third party tool that allows faculty members to copy and paste their publication citations from a PDF or document into an import tool which can turn them into publication activity entries. The tool identifies data within the citation to populate the title, publisher, publication date, and authors, and any other fields it can. You then have the option to select what type of publication it is before previewing or finalizing the import (just as you might when importing from PubMed). The tool is not fool-proof, but it will list for you the citations it has difficulty identifying, which will allow you to try importing those via PubMed or manually. After pasting your citations and importing, please be patient while waiting for the system works to parse the data &#8211; if you have pasted a lot of citations, it might take a few minutes to complete.<\/li>\n\n\n\n<li><strong>PNT Discussion Section<\/strong>: When completing a self-evaluation, faculty can now select whether they&#8217;d like to discuss PNT with their supervisor, and add a comment. This feature is included at the top of the Evaluation page. Supervisors will then have the opportunity to respond with their own comment when completing that faculty&#8217;s evaluation. For Supervisors, Chairs, and Org Admins, there is now a column on the Performance Dashboard table which marks which of your faculty members have requested a discussion about PNT.<\/li>\n\n\n\n<li><strong>Pending Evaluation to-do list<\/strong>: If you are a supervisor, chair, or area evaluator, you will notice that your Performance Dashboard now defaults to a Pending Evaluations page. This functions as your evaluation cycle to-do list. If an evaluation needs your action, it will be listed here. For example, supervisors and area evaluators will see evaluations that your faculty have submitted. Chairs will see evaluations that require their review once the supervisor has submitted. From this page, you can use the edit button to access the evaluation page for that faculty member.<\/li>\n\n\n\n<li><strong>Evaluation in Portfolio checkbox<\/strong>: For Org Admins, there is a new checkbox in the User Management tool which you can unselect if a faculty member is not having their evaluation through Portfolio. &#8220;Performance Evaluation Through Portfolio&#8221; is by default checked. Unchecking this before the evaluation has been submitted will hide the evaluation record from the faculty member. It will also hide that faculty from the Supervisor\/Chair\/Org Admin Performance Dashboards, so they are not counted in pending evaluation totals.<\/li>\n\n\n\n<li><strong>Retrieve user with no roles<\/strong>: For Org Admins, when a user&#8217;s roles have all been deleted from their record in User Management, they previously would not be searchable in the user list. We&#8217;ve updated this process. If a user has no assigned roles but is added to Portfolio, they can now be found in their parent organization&#8217;s list of users.<\/li>\n<\/ul>\n\n\n\n<p><strong><u>Bugs<\/u><\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Create PIP outside eval cycle<\/strong>: The &#8220;Add&#8221; button on the Performance Improvement Plan page now exists for supervisors throughout the entire year, not just during the evaluation period. These PIPs can be assigned through out the year and are not a result of an Overall evaluation rating of Needs Improvement or Unsatisfactory. Once created, a supervisor will be able to save and assign to faculty. This button is hidden during the evaluation process, since evaluation triggered PIPs will be created from the evaluation page.<\/li>\n\n\n\n<li><strong>Updated text for Supervisor Review option<\/strong>: If a faculty disagrees with their evaluation, their supervisor has three response options. One of these allows them to reopen the evaluation for edits. When the evaluation is resubmitted back to the faculty, the Supervisor Review option selection will now read &#8220;<\/li>\n\n\n\n<li><strong>Two headers in Publications Import tool<\/strong>: On the publication bulk-import tool, the word &#8220;Affiliation&#8221; was used in two different ways. We&#8217;ve updated these words to align with their data. On the bulk-import tool, you now have the Institution search field after the Name field. Once you search and see the pop-up list of all found publications, the column after the Title is now labeled Publication.<\/li>\n<\/ul>\n","protected":false},"excerpt":{"rendered":"<p>Enhancements We received feedback that this terminology, in the context of activity entries, posed some confusion. To address this, we have updated these buttons to &#8220;Delete&#8221; and &#8220;Hide.&#8221; The associated action remains the same. If an activity entry is already imported into the activity table, users can now use a Delete button to perform the soft delete. If using the bulk-import search tool for Publications, and viewing import options, users will have the option to Hide entries they no longer wish to see. Both of these actions, Hide and Delete, are still reversible.<\/li>\n\n\n\n<li><strong>Remove unnecessary confirm dialogs:<\/strong>&nbsp;Portfolio has several alert messages throughout the system letting the user know when an action has been successfully executed. A few of these were a bit extraneous, and let a user know when a page had successfully loaded. Since page reloading is a standard action, we have taken out those alerts so as to provide a more efficient experience.<\/li>\n\n\n\n<li><strong>Inactive faculty on performance dashboard:<\/strong>&nbsp;If a faculty member has been marked as &#8220;Inactive&#8221; by an Org Admin, they will be hidden from the evaluation tables on the Performance Dashboard page. Should an Org Admin, Supervisor, or Chair need to review the evaluation, or historic evaluations, of an inactive faculty member for any reason, they have the ability to toggle on &#8220;Include Inactive Faculty&#8221; from the Performance Dashboard page, and so show those faculty members that are initially hidden.<\/li>\n\n\n\n<li><strong>Manage inactive users:<\/strong>&nbsp;Similarly to the Performance Dashboard, Org Admins have the ability to reveal inactive faculty members in the User Management tool. Once marked inactive, faculty accounts will be hidden in User Management. Org Admins will now see an option to &#8220;Include inactive users&#8221;, which will allow them to see and manipulate records of faculty that are currently marked as inactive.<\/li>\n<\/ul>\n\n\n\n<h1 class=\"wp-block-heading\" id=\"user-content-bugs\">Bugs<a href=\"https:\/\/devops.som.vcu.edu\/SOMTech\/AS\/_wiki\/wikis\/AS.wiki\/494\/Release-Notes-9-6-23?anchor=bugs\"><\/a><\/h1>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Hidden save button on goals:<\/strong>&nbsp;If an evaluation submission was attempted, but then a user went back to add a goal, the Save button on the goal entry pop-up would be hidden. This has been fixed.<\/li>\n\n\n\n<li><strong>Max length for goals:<\/strong>&nbsp;If a goal was saved with a description over the max allowable length, Portfolio would display an error message. We have updated this process so that the description field stops accepting text when the character limit is reached.<\/li>\n\n\n\n<li><strong>Lecture hours value:<\/strong>&nbsp;We have updated the Lecture Hours field to accept numbers over 4 digits long.<\/li>\n\n\n\n<li><strong>Faculty field drop down ordering:<\/strong>&nbsp;Users in a Supervisor, Chair, and Org Admin role have a drop down &#8220;Faculty&#8221; field on all evaluation pages, allowing them to choose which evaluation to view. We have made this drop down list faculty alphabetically.<\/li>\n\n\n\n<li><strong>Supervisor update when evaluation is in completed state:<\/strong>&nbsp;If an evaluation has already been completed (Agreed or Acknowledged), and a Supervisor assignment is updated for a faculty member, the previously completed evaluation comments should not be attributed to them. This behavior was correct in most instances, but we did find and fix one instance where this was not the case.<\/li>\n\n\n\n<li><strong>Supervisor decline instant notification:<\/strong>&nbsp;We updated the wording and recipient of this instant notification. Now, if a Supervisor declines the evaluation assignment of a faculty member, the Org Admin of that department is notified directly, and the faculty member is cc&#8217;ed.<\/li>\n\n\n\n<li><strong>Encoding errors on generated documents:<\/strong>&nbsp;Certain characters used in the Description field of an Appointments activity entry caused unnecessary characters to be added in the text when displayed on a generated document, such as a CV. This has been fixed.<\/li>\n\n\n\n<li><strong>Replacing a Chair assignment:<\/strong>&nbsp;It is not appropriate in the Portfolio system to have multiple Chairs assigned to the same department or division. We have updated User Management replace the current Chair if a new one is assigned.<\/li>\n\n\n\n<li><strong>Search user hang-up:<\/strong>&nbsp;In User Management, there is a Search User tool to find new users and add them to Portfolio. In some instances, if no data was entered into the search field, but the Search button was selected, the page would enter a state of forever loading. We want to thank you all for the feedback, questions and continued support!<\/p>\n\n\n\n<p><strong>Enhancements<\/strong><strong><\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Previous\/Next buttons on activity entry form.<\/strong>&nbsp;To save time when navigating to review or make changes across multiple activities, the activity form now has two new buttons at the top,&nbsp;<em>Save &amp; Previous<\/em>&nbsp;and&nbsp;<em>Save &amp; Next<\/em>. These buttons will save any changes you&#8217;ve made on the current activity, and then load the previous or next activity without having to click close to go back to the activity table and then click into another activity. The order of activities when using the&nbsp;<em>Save &amp; Previous<\/em>&nbsp;and&nbsp;<em>Save &amp; Next<\/em>&nbsp;buttons will match the order of the activities in activity table. So, changing the sort order in the table will change the order of activities when using the Previous and Next buttons.<\/li><li><strong>Update activity tables save the paged state.<\/strong>&nbsp;Another added convenience when adding and managing your activities is when you close an activity to return to the activity table, the page you were on is now saved, instead of jumping back to the first page.<\/li><li><strong>Clinical activity type under Teaching<\/strong>&nbsp;We have added a new&nbsp;<em>Clinical<\/em>&nbsp;activity type to cover clinical teaching<br>activities.<\/li><li><strong>Improved interface for document generation on the profile page.<\/strong>&nbsp;Based on a lot of feedback, we&#8217;ve completed a significant redesign of the top of the profile page used to manage and generate documents from your activities. Different options are now listed prominently in a button group at the top of the page, and detailed instructions explaining the process are now available by clicking on the blue question mark (?) icons to expand the help text. We hope this will make the process actions like generating your Activity Report or a CV much easier.<\/li><li><strong>Delegate is displayed on user&#8217;s end.<\/strong>&nbsp;In Portfolio it is possible to have a role delegated to someone else. For example a user setup as a Faculty Delegate for you will be able to log in and add activities for you, the same way you can yourself. If you have any delegates setup for you, we have added a table so can see information about these delegates. You can get to this table by clicking your name in the top right of portfolio and then selecting the&nbsp;<em>Delegates<\/em>&nbsp;menu item.<\/li><li><strong>List lectures on generated CVs and AR.<\/strong>&nbsp;Lecture activity types were previously not available to show on generated Activity Reports and CVs, but they should now show up there.<\/li><li><strong>Default organization selection in user management.<\/strong>&nbsp;For administrators using the user management tool, the organization dropdown will now more conveniently default to your home organization.<\/li><li><strong>Display downtime messages more prominently.<\/strong>&nbsp;The Portfolio application is available 24\/7, but occasionally the system will be down for short periods of time, such as to release the enhancements and fixes described in this release note. We will now display alerts for upcoming scheduled downtime more prominently, as a dismissible alert at the top of most pages to make you more aware of our schedule. We try to alert users by posting these downtime messages 24 hours in advance of the scheduled downtime.<\/li><\/ul>\n\n\n\n<p><strong>Bugs<\/strong><strong><\/strong><\/p>\n\n\n\n<p>As usual we have fixed several issues reported from faculty or found during internal testing. These include:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Occasional exception on home page.<\/strong>&nbsp;We noticed some users occasionally getting an error page when loading or reloading the home page, we have fixed an issue that was causing this.<\/li><li><strong>Show SOM Required expectations as approved.<\/strong>&nbsp;The set of expectations required by all School of Medicine faculty (prefixed with&nbsp;<em>SOM Required:<\/em>) would previously show up with a blank&nbsp;<em>Supervisor Approval<\/em>&nbsp;status, which caused some confusion. Since these expectations are required, we have changed the status of all of them to&nbsp;<em>Approved<\/em>. Custom added expectations, or expectations added by selecting your role(s) will still follow the same approval process (showing up as&nbsp;<em>Pending Approval<\/em>&nbsp;first).<\/li><li><strong>Evaluation returned for revision note.<\/strong>&nbsp;If a supervisor returns an evaluation to a faculty for revision, an email notification is sent to the faculty but this notification previously lacked the reason that the supervisor typed into Portfolio. The notification has been updated to include this reason.<\/li><li><strong>Fix creation of evaluations for new faculty.<\/strong>&nbsp;New faculty in the School of Medicine automatically have their current year evaluations added to the portfolio system, along with the ability to add and update goals and expectations (which are available year round, both inside and outside the evaluation cycle. However, there were some issues with this process that caused errors for new faculty working in the performance system. These issues have now been fixed.<\/li><li><strong>Unassigned supervisors and chairs on evaluations.<\/strong>&nbsp;Department administrators manage who are the supervisors and chairs for faculty evaluations, however there are some instances where an evaluation can have a supervisor or chair unassigned, for example a new faculty who does not have their supervisor assigned in the system yet, or a supervisor who has declined an evaluation due to a mistake or other reasoning. We want to thank you all for the feedback, questions and continued support you&#8217;ve provided to us over the past few months on the Portfolio system.<\/p>\n\n\n\n<p><strong>Enhancements<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Lecture lengths now accepts decimal hours:<\/strong>&nbsp;When adding the Length of Lecture in teaching activities, the system now accepts decimal hours for improved accuracy.<\/li><li><strong>Student: MD\/PhD participant option<\/strong>: This option is now added in the participant type dropdown for all activities that can have participants added, such as publications, presentations and mentoring.<\/li><li><strong>Attach an activity report to your evaluation from the profile page:<\/strong>&nbsp;To make the integration between generating the activity report on the profile page and attaching the activity report in the performance evaluation module easier, we have added an&nbsp;<em>Attach to your evaluation?<\/em>&nbsp;checkbox on the profile page. As you follow the steps to generate an activity report, check this checkbox before clicking Save to Documents, and your generated activity report will automatically be attached to your Self-Evaluation. Additionally we are currently working on further improvements in this area to make the process of generating documents from the profile page more intuitive.<\/li><li><strong>Bulk finalize button from Bibtex:<\/strong>&nbsp;Similar to the finalize button we added recently to the bulk import tool from PubMed, we&#8217;ve added a&nbsp;<em>Finalize selected<\/em>&nbsp;button when importing publications from a Bibtex file, which will bring all selected publications in, already saved, bypassing the further manual steps of opening, reviewing and saving each activity. Do ensure that you still do review appropriately to make sure your data is correct.<\/li><li><strong>Display end date in activities table:<\/strong>&nbsp;End date is now added as a column in all the tables that list your activities in the Activities Module.<\/li><li><strong>Highlight supervisor-approved column in Work Distribution table<\/strong>&nbsp;The supervisor-approved column is now highlighted in light gray. This reflects your approved Work Distribution for the upcoming year.<\/li><\/ul>\n\n\n\n<p><strong>Bugs<\/strong><\/p>\n\n\n\n<p>As usual we have fixed several issues reported from faculty or found during internal testing. These include:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>In rare cases some users could not add or view their Expectations, this is now fixed.<\/li><li>On the Profile Page when adding an activity to a document such as your Activity Report, the screen would sometimes not show that the association was added. This has been fixed.<\/li><li>When adding expectations, the Standardized Expectations should no longer clear out (and require selecting a role to reappear) when selecting 2024 from the dropdown, and instead stay present as they are for 2023.<\/li><li>In some cases when entering the profile screen to create an activity report from the link in the instructions of the Attach Activity Report dialog, the refresh button on the Profile screen wouldn&#8217;t work. This has been fixed.<\/li><li>Access for Area Evaluators to complete their Area Evaluations was temporarily broken, but now fixed.<\/li><li>The Home Org displayed in the User Management module for Administrators has been updated to be more accurate.<\/li><\/ul>\n\n\n\n<p><strong>Your Portfolio Update [7\/5\/2023]<\/strong><\/p>\n\n\n\n<p>We&#8217;ve made a few adjustments to how information is conveyed to you in Portfolio. We hope that this will alleviate confusion as you continue to explore the system.<\/p>\n\n\n\n<p><strong><u>Enhancements<\/u><\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Error Screens<\/strong>: There are several places within Portfolio where certain actions are not permitted, and the system would previously show an error screen if that action was attempted. We are now updating those error screens to more informative alerts.<\/li><li><strong>Sweet Alerts<\/strong>: We added a few additional alerts throughout the system to provide better feedback.<\/li><\/ul>\n\n\n\n<p><strong><u>Bugs<\/u><\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Pagination for goals<\/strong>: If you are completing your self-evaluation, and added a lot of goals, you would see them separated by pages on your Evaluation and Goals page, similar to how you might see your activities paged on your Profile page. We removed this pagination for Goals. Enter activities completed from 1\/1\/2022 thru 6\/30\/2023.&nbsp; MCVP only employed faculty should speak with their department regarding the format of their evaluation.<\/p>\n\n\n\n<p><strong><em>All Teaching &amp; Research Faculty Activities for Evaluation:<\/em><\/strong>&nbsp; Enter activities completed from 7\/1\/22 thru 6\/30\/2023&nbsp;<\/p>\n\n\n\n<p>As faculty, your part of the annual evaluation requires you to:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Compose your self-evaluation narrative<\/li><li>Review your work distribution %\u2019s<\/li><li>Add\/review expectations<\/li><li>Link your activity report<\/li><li>Enter your goals (optional)<\/li><li>Discuss with your supervisor if you would like a secondary evaluator in any area (research, teaching, service).&nbsp;
