As you wrap up your course and transition into the summer, please review the items below to help guide your end\u2011of\u2011term preparations.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Fall 2026 Course Shells Available Now<\/strong><\/h2>\n\n\n\n<p>Course shells for the Fall 2026 semester are officially available in Canvas for all instructors. As you prepare for the upcoming term, remember that students won\u2019t see your course until you choose to publish it.<\/p>\n\n\n\n<p>Publishing your course makes it visible on students\u2019 Canvas dashboards and opens the door for them to access your materials. If you need a quick refresher, you can review step\u2011by\u2011step guidance on how to <a href=\"https:\/\/community.canvaslms.com\/t5\/Instructor-Guide\/How-do-I-publish-a-course\/ta-p\/1185\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>publish or unpublish a Canvas course<\/strong><\/a>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Need a Hand Wrapping Up the Semester?<\/strong><\/h2>\n\n\n\n<p>If you\u2019re working through your end\u2011of\u2011semester checklist and could use a little support, we\u2019ve got you covered.<\/p>\n\n\n\n<p>For a quick overview of available resources for both Canvas and Kaltura, head over to the <a href=\"https:\/\/learningsystems.vcu.edu\/-help--resources\/\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>Help &amp; Resources<\/strong><\/a> tab on the <a href=\"http:\/\/learningsystems.vcu.edu\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>Learning Systems website<\/strong><\/a>. It\u2019s a great starting point for guides, troubleshooting tips, and ways to get assistance as you close out the term.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Submit Final Grades Directly into Banner<\/strong><\/h2>\n\n\n\n<p>Final grades are due by noon on <strong>May 12, 2025<\/strong>, via Faculty eServices.&nbsp;<\/p>\n\n\n\n<p>If you use Canvas to store and calculate your course grades, you\u2019ll see an option in your course navigation (<strong>Ellucian Grade Passback 1.3<\/strong>) that allows you to send those grades directly to Banner once they\u2019re finalized.<\/p>\n\n\n\n<p>For instructors teaching cross\u2011listed courses, grades can be submitted from the merged Canvas roster, eliminating the need to enter grades separately in eServices for each individual section.<\/p>\n\n\n\n<p>Please note that only the <strong>instructor of record<\/strong>, as listed in Banner, is able to submit grades through this tool.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Verify Grades After Submitting from Canvas<\/strong><\/h3>\n\n\n\n<p>After you\u2019ve pushed your final grades from Canvas, we recommend taking a moment to confirm that everything transferred correctly into eServices. See the <a href=\"https:\/\/academiccalendars.vcu.edu\/\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>Academic Calendar<\/strong><\/a> for details.<\/p>\n\n\n\n<p>If you have students finishing the course with an Incomplete, there are a few required steps you\u2019ll need to complete before the term concludes on <strong>May 31, 2026<\/strong>. After that date, the course will move into Read\u2011Only mode, and you won\u2019t be able to make changes.<\/p>\n\n\n\n<p>For step-by-step instructions, visit the <a href=\"https:\/\/learningsystems.vcu.edu\/canvas\/instructors\/managing-course-groups-and-sections\/managing-students-with-an-incomplete-status\/\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>Managing Students with an Incompletes Status<\/strong><\/a> page or contact <a href=\"mailto:lsrequest@vcu.edu\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>lsrequest@vcu.edu<\/strong><\/a>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Updates to Canvas 3rd-Party Tool (LTI) Integrations<\/strong><\/h2>\n\n\n\n<p>Starting <strong>June 1, 2026<\/strong>, the university will transition away from LTI 1.1 integrations. Please review the following changes to ensure your future course materials remain accessible and compliant:<\/p>\n\n\n\n<p><strong>Key Changes &amp; Deadlines:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Discontinuing LTI 1.1:<\/strong> Effective June 1, the permission to manually integrate LTI 1.1 tools into individual courses will be disabled.<\/li>\n\n\n\n<li><strong>Legacy Support:<\/strong> Existing LTI 1.1 configurations will continue to function in current courses, but you will be unable to add them to new or future course shells.<\/li>\n\n\n\n<li><strong>LTI 1.3 Requirements:<\/strong> All new integrations must use the LTI 1.3 standard. This tool acts as a real-time assistant, identifying common issues\u2014such as missing image alt-text or insufficient color contrast\u2014and providing guided steps to fix them instantly.<\/li>\n\n\n\n<li>Instructure Accessibility Toolkit: For faculty looking to dive deeper into inclusive design, we recommend exploring the<a href=\"https:\/\/community.instructure.com\/en\/discussion\/648184\/accessibility-toolkit#latest\" target=\"_blank\" rel=\"noreferrer noopener\"> <strong>Instructure Accessibility Toolkit<\/strong><\/a>. This comprehensive resource outlines the technical workflows and pedagogical strategies used to maintain high accessibility standards across our LMS.<\/li>\n\n\n\n<li>Platform Transparency: We work closely with our vendor to ensure the Canvas platform continues to meet or exceed global WCAG standards. TidyUP allows instructors to scan their courses for &#8220;bloat&#8221;\u2014identifying and deleting unused files or empty folders that can clutter the student experience. For a deeper accessibility dive beyond the native checker, uDOIT (Universal Design Online Content Inspection Tool) performs a comprehensive scan of the entire course, providing a centralized dashboard to identify and batch-fix accessibility issues in one place.<\/li>\n<\/ul>\n\n\n\n<p>For personalized assistance or to learn more about creating accessible materials, please visit the <a href=\"https:\/\/digitalaccessibility.vcu.edu\/\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>VCU Digital Accessibility<\/strong><\/a> site.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Annual Academic Records Retention Update<\/strong>&nbsp;<\/h2>\n\n\n\n<p>Effective <strong>April 1, 2026<\/strong>, the university began the annual records retention process for legacy course data. To comply with the Library of Virginia\u2019s records destruction policies, <strong>academic <\/strong>courses that concluded prior to <strong>June 30, 2021<\/strong>, have been identified for permanent deletion.<\/p>\n\n\n\n<p><strong>What you need to know:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Identification:<\/strong> Impacted courses will be marked with a <strong>&#8220;DNR&#8221;<\/strong> (Do Not Retain) prefix in the course name starting April 1.<\/li>\n\n\n\n<li><strong>Deletion Date:<\/strong> These courses will be permanently deleted on <strong>June 1, 2026<\/strong>.<\/li>\n\n\n\n<li><strong>Irreversibility:<\/strong> Once deleted, these records <strong>cannot be recovered<\/strong>.<\/li>\n\n\n\n<li><strong>Annual Process:<\/strong> This is now an annual compliance measure; courses will be identified and slated for deletion based on the same retention threshold moving forward.<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>How you can Prepare &amp; The Course Creation Tool:<\/strong><\/h3>\n\n\n\n<p>When creating course shells you should use the <a href=\"https:\/\/learningsystems.vcu.edu\/canvas\/instructors\/building-your-canvas-course\/export-and-import-course-content\/export\/\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>export<\/strong><\/a> and <a href=\"https:\/\/learningsystems.vcu.edu\/canvas\/instructors\/building-your-canvas-course\/export-and-import-course-content\/import\/\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>import<\/strong><\/a> workflow for moving course information from old courses into new shells. You can use our <a href=\"https:\/\/coursecreate.ts.vcu.edu\/\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>non-academic course creation tool <\/strong><\/a>to make a primary template to store course exports.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Training Opportunities<\/strong><\/h2>\n\n\n\n<p><strong>Upcoming Opportunities<\/strong> &#8211; For upcoming training, you can register at <a href=\"http:\/\/www.training.vcu.edu\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>www.training.vcu.edu<\/strong><\/a>&nbsp; (<strong>Keyword:<\/strong> Canvas, Kaltura, or Mobius)<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Individual or Group Faculty Training<\/h3>\n\n\n\n<p>Faculty who would like individual or group\/departmental training can request a session anytime by selecting the <strong>\u201c<\/strong><a href=\"https:\/\/learningsystems.vcu.edu\/training\/\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>Request Training<\/strong><\/a><strong>\u201d<\/strong> button on the Learning Systems website.<\/p>\n\n\n\n<p>These sessions are designed for instructors who want to learn how to use the instructional tools supported by Learning Systems, including Canvas and Kaltura.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Training Recordings<\/h3>\n\n\n\n<p>We hope you had a chance to take part in this spring\u2019s training opportunities. Changes include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Dragged items are highlighted with a blue fill and border instead of gray, consistent with keyboard-based reordering.<\/li>\n\n\n\n<li>Items can be reordered using the keyboard: select an item, press Space to start moving it, use the Up\/Down arrows to reposition, and press Space again to drop it or Esc to cancel.<\/li>\n\n\n\n<li>While dragging with the keyboard, Tab and Shift+Tab do not change the selection. For more information, visit the <a href=\"https:\/\/learningsystems.vcu.edu\/guidelines--procedures\/records-management-policy--canvas-usage-at-vcu\/\">Records Management Policy &amp; Canvas Usage at VCU<\/a> page. Once these courses have been deleted, there will be no option for retrieval.<\/p>\n\n\n\n<p>Now is the perfect time to start considering your next steps. We first announced this back in December, with recommendations to use the <a href=\"https:\/\/learningsystems.vcu.edu\/canvas\/instructors\/building-your-canvas-course\/export-and-import-course-content\/export\/\">export<\/a> and <a href=\"https:\/\/learningsystems.vcu.edu\/canvas\/instructors\/building-your-canvas-course\/export-and-import-course-content\/import\/\">import<\/a> workflow for moving course information from old courses into new shells. This helps keep courses more stable in the event that something that is copied, instead of imported, becomes obsolete or unavailable upon the deletion of its native course.<\/p>\n\n\n\n<p><strong>Course Shells for the Upcoming Term(s):<\/strong><\/p>\n\n\n\n<p>Canvas course shells for upcoming terms will be released on the same day that registration opens.
