Dear colleagues,

Please review the notices below and share them with employees in your area.

Generic accounts required for student workers

Per recommendation from Technology Services and Internal Audit, departments that hire student workers should use a generic department email account when sending work-related emails to student workers. Unlike employee email accounts that are disabled upon separation, student email accounts could potentially remain active forever, with no deletion of past email activity. As such, any work related email sent to a student email account remains in their email history, including sensitive information that may have ended up in their email. Under the current arrangement with Google, VCU is not able to directly access student accounts, if needed, for purposes such as FOIA requests, subpoenas, etc.

Please remind the managers of student workers to send work-related emails to a generic student worker email account that is created and maintained by the department. If you have questions or need further assistance, please submit a service ticket to Collaboration Services.

New learning opportunities

The Learning, Development and Organizational Culture team is offering a course on the Power of Informal Leadership. Participants will learn to leverage influence tactics to gain greater support from colleagues and make a deeper impact in their profession. The course will be held on Thursday, Feb. 27 from 9-12 p.m. and March 25 from 1-4 p.m. in the HR Training Building located at 922 W. Grace St.

This course requires approximately 30 minutes of preparatory work including a 12 minute video. For that reason, we close registration 3 days before the course date. If you wish to register for the Feb. 27 session, find that the session is closed, and can commit to completing the pre-work, please contact Karen Fields at ksfields@vcu.edu or Penny McFarline at mcfarlinep@vcu.edu. We will make accommodations for this session assuming seats are available.

Keep an eye out for another learning opportunity coming soon – Conducting Regular One-On-One Supervision Meetings. This course for VCU managers is scheduled for March 31 from 9-12 p.m. in the HR Training Building.

Thank you for your continued support and partnership.

Best wishes, Cathleen C. Burke Assistant Vice President for Human Resources Virginia Commonwealth University
