[{"id":363,"date":"2026-02-28T22:47:00","date_gmt":"2026-02-28T22:47:00","guid":{"rendered":"https:\/\/blogs.vcu.edu\/cio\/?p=363"},"modified":"2026-02-28T22:47:13","modified_gmt":"2026-02-28T22:47:13","slug":"february-2026-cio-update","status":"publish","type":"post","link":"https:\/\/blogs.vcu.edu\/cio\/2026\/02\/28\/february-2026-cio-update\/","title":{"rendered":"February 2026 CIO Update"},"content":{"rendered":"\n<p>As winter (hopefully) dies down and we approach Spring Break, I want to share some updates on various projects and initiatives underway in Technology Services.<\/p>\n\n\n\n<p><strong>Upgrading Campus Infrastructure, Hosting, and Cloud<\/strong><\/p>\n\n\n\n<p>A major deliverable of our <a href=\"https:\/\/cio.ts.vcu.edu\/initiatives\/enterprise-it-risk-project\/\">Enterprise IT Risk Project<\/a> is transitioning &#8220;housed&#8221; servers to a centralized hosted environment. Discussions are currently underway with units to review what servers can transition, and to create timelines for migration to the new model. Alongside our hosting transitions, Information Security has officially completed the build-out of our new AWS cloud environment, which is currently awaiting the provisioning of its first domain controller. To support this shift to the cloud, our <a href=\"https:\/\/spp.vcu.edu\/\">SPP<\/a> site will be updated with the new AWS offering, and officially retire the old &#8220;housed&#8221; server option. We are also exploring an Azure High-Performance Computing (HPC) setup in partnership with OVPRI.  On the physical infrastructure side, fiber relocation will be moving forward for the new 700 W. Grace Residence Hall, with a purchase order and city construction permits recently issued. Our teams are officially adopting a &#8220;mobile-first&#8221; strategy for university credentials.  While physical IDs will continue to be available for some use cases, digital credentials on a mobile device will be supported for buliding access, campus dining, and many other services. The project kicked off in January, and data integrations are actively being worked on to support this exciting modernization.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full is-resized\"><img loading=\"lazy\" decoding=\"async\" width=\"440\" height=\"874\" src=\"https:\/\/blogs.vcu.edu\/cio\/wp-content\/uploads\/sites\/659\/2026\/02\/Screenshot-2026-02-28-at-5.17.24-PM.png\" alt=\"\" class=\"wp-image-365\" style=\"aspect-ratio:0.5034379332786282;width:232px;height:auto\" srcset=\"https:\/\/blogs.vcu.edu\/cio\/wp-content\/uploads\/sites\/659\/2026\/02\/Screenshot-2026-02-28-at-5.17.24-PM.png 440w, https:\/\/blogs.vcu.edu\/cio\/wp-content\/uploads\/sites\/659\/2026\/02\/Screenshot-2026-02-28-at-5.17.24-PM-151x300.png 151w\" sizes=\"auto, (max-width: 440px) 100vw, 440px\" \/><\/figure>\n\n\n\n<p>Additionally, classroom and event spaces are getting major upgrades. The team is currently coordinating a mocked-up system setup for the Oliver Hall 4084B HyFlex\/Hybrid Showcase Classroom, which will feature an advanced Zoom Room PC. Our Media Support Services team has also officially added the Cary &amp; Belvidere Events Space to the IT Project Portfolio; this renovation of the former Chili&#8217;s restaurant will serve as the new home for VCU Catering and also feature a new event and conferencing center for multiple events.<\/p>\n\n\n\n<p><strong>Transforming Telecommunications and Print<\/strong><\/p>\n\n\n\n<p>The Contact Center as a Service (CCaaS) project is entering a crucial vebdor evaluation phase. As we review top contenders, the project team is setting up testing sandboxes and conducting deep-dive meetings with key constituent groups including the VCU Health Systems Patient Assistance Center and our own IT Support Center to fully develop the integrations needed to deliver new call center functionality that will help to drive efficiencies and improve the customer service experience.<\/p>\n\n\n\n<p>For our campus printing needs, the Managed Print committee has successfully selected Canon as our managed print vendor with 100% consensus. The team is currently drafting a bridge agreement and reviewing new device pricing to ensure a seamless transition for the university.<\/p>\n\n\n\n<p><strong>Security and Vulnerability Management<\/strong><\/p>\n\n\n\n<p>Keeping our university network safe remains a top priority. The Information Security Office is actively driving a comprehensive Vulnerability Management Program. The team has successfully prioritized network vulnerabilities and is currently in the active remediation phase. This includes working closely with units to resolve outdated system vulnerabilities, with a targeted resolution expected by the end of Spring.<\/p>\n\n\n\n<p><strong>Streamlining Administrative Systems and AI<\/strong><\/p>\n\n\n\n<p>Our Collaboration Services team has successfully completed the decommission of the legacy Google Mymail.vcu.edu environment and upgraded our Tableau Server environments to the latest release. Looking ahead, the search is officially on for a replacement of the EMS event scheduling tool, with requirements surveys going out this month and a goal to have a new tool selected by March. Finally, our AI initiatives are rapidly expanding. For this month&#8217;s entry, I&#8217;d like to share an update on a key system migration as well as an update on a new policy.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Infrastructure Services Upgrades to Z<\/strong>abbix<\/h3>\n\n\n\n<p>Infrastructure Services recently completed a significant project: migrating VCU\u2019s enterprise monitoring and alerting platform from the legacy Xymon system to the modern, scalable <strong>Zabbix<\/strong> platform.&nbsp; This transition is a strategic step that supports the University\u2019s goal to build infrastructure that is &#8220;scalable, nimble, and ready for growth.&#8221;<\/p>\n\n\n\n<p><strong>From Legacy to Modern<\/strong><\/p>\n\n\n\n<p>For context, Xymon is a legacy tool designed primarily for basic &#8220;up\/down&#8221; status checks. As the open source community maintaining Xymon became less active, security limitations and a lack of API integration posed growing risks.&nbsp; Furthermore, the lack of granular alerting often led to &#8220;alert fatigue,&#8221; leaving technical teams overwhelmed by broad notifications that did not always align with their responsibilities.<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table class=\"has-fixed-layout\"><tbody><tr><td><strong><em>\u201c<\/em><\/strong><em>Zabbix runs laps around Xymon when it comes to alerting and integration.<\/em><strong><em>\u201d<\/em><\/strong><br>\u2013 Enterprise Platform team member<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p><strong>Strategic Benefits<\/strong><\/p>\n\n\n\n<p>Zabbix is now centrally monitoring roughly 1,400 systems and applications across Windows, Linux, our private cloud environment, and externally hosted applications in the public cloud.&nbsp; Key improvements include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Proactive Detection:<\/strong> Monitoring complex metrics, such as hypervisor cluster health, enables us to detect issues <em>before <\/em>they impact the University.<\/li>\n\n\n\n<li><strong>Automation:<\/strong> Zabbix\u2019s robust API enables Infrastructure Services, in collaboration with other teams, to trigger <strong>Ansible Automation Platform<\/strong> actions, automatically resolving issues\u2014such as CAS service failures\u2014in real time without manual intervention.<\/li>\n\n\n\n<li><strong>Security &amp; deployment achieved through partnership between the Server Operations and Enterprise Platform teams, in close collaboration with stakeholders throughout Technology Services and the broader University community.&nbsp; By running Zabbix alongside the legacy system for several months, the teams ensured a low-risk transition with zero downtime.<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table class=\"has-fixed-layout\"><tbody><tr><td><strong><em>\u201c<\/em><\/strong><em>I like it much better than Xymon; there are more features that help us monitor more efficiently.<\/em><strong><em>\u201d<\/em><\/strong><br>\u2013 NOC team member<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p>Meanwhile, the operational impact was immediate.&nbsp; The Network Operations Center (NOC)\u2014the team that keeps a 24&#215;7 eye on the University&#8217;s systems\u2014reports that the new platform has streamlined daily workflows.&nbsp; By offering a richer feature set and more relevant alert data, Zabbix allows staff to triage and respond to incidents more efficiently than ever before.<\/p>\n\n\n\n<p><strong>Looking Ahead<\/strong><\/p>\n\n\n\n<p>With Zabbix now established as a pillar of our core infrastructure platform, Technology Services is now positioned to enhance service-level observability\u2014monitoring the holistic health of entire user-facing services rather than just individual servers or application processes.&nbsp; These next steps will help ensure the digital tools that VCU students and faculty rely on remain consistently available, resilient, and performant.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>VCU&#8217;s New Generative AI Policy: Key Takeaways<\/strong><\/h2>\n\n\n\n<p>VCU has officially enacted a new institutional policy, \u201c<a href=\"https:\/\/vcu.public.doctract.com\/doctract\/documentportal\/08DE25FC31398F5D486E7414FA311446\">Acceptable Use of Generative AI Technology<\/a>,\u201d setting clear boundaries for how employees and affiliates should engage with generative AI tools while working. The policy&#8217;s purpose is to ensure all uses of GenAI align with VCU\u2019s core values and regulatory frameworks, promoting secure, ethical, and mission-consistent practices across research, learning, and operations. By clearly defining VCU-approved tools and data handling protocols, the university aims to maintain academic integrity and manage risks associated with these rapidly evolving technologies.<\/p>\n\n\n\n<p>The policy establishes two critical requirements for all users. First, strict guidelines are placed on data security, prohibiting the input of sensitive (Category II) or confidential\/regulated (Category I) university data into public, non-approved AI platforms. Secondly, individual accountability is emphasized: users are responsible for verifying the accuracy, integrity, and legal appropriateness of all AI-generated content. This was achieved while launching multiple new services and improving existing ones.  I know our students, faculty, and staff are deeply appreciative of the service and support they receive, and I am thankful for all of the  contributions made by VCU&#8217;s outstanding team of IT professionals.  This month I would like to highlight a couple of new services as well as provide a reminder and some new resources around security.<\/p>\n\n\n\n<p><strong>RamsCentral Updates<\/strong><\/p>\n\n\n\n<p>We\u2019re excited to share that RamsCentral continues to evolve with the development of several new dashboards\u2014and more are on the way. These enhancements are part of our ongoing commitment to improving visibility, operational transparency, and data-driven decision-making across our IT landscape.<\/p>\n\n\n\n<p>The newly launched dashboards provide streamlined access to key performance metrics, service tracking, and change management insights. They are designed to empower teams with the information they need to make informed decisions quickly and confidently.<\/p>\n\n\n\n<p>Currently available dashboards include views tailored for IT Analysts, HR Analysts, Change Advisory Board (CAB), Change Management, and a TS-specific executive dashboard. This first-of-its-kind application is designed to prepare students for what comes after&#8230; a job in their chosen field utilizing the degree they just spent thousands of dollars on.\u00a0<\/p>\n\n\n\n<p>CareerWorks centralizes key data from a growing list of university platforms, including Handshake, People Grove, Canvas, and Banner, to create a single source of truth. The TS Application Services team led the process, working with various team members in Academic Technologies, Administrative Systems, Information Security, Network Services, and the VCU Computer Center, whose expertise and ongoing support were essential to this release and the next.  <\/p>\n\n\n\n<p><strong>Zoom Security Update<\/strong><\/p>\n\n\n\n<p>The start of any new academic year brings an increase in Zoom activity and with it, unfortunately, new threats to meeting security. Technology Services staff work diligently to protect VCU Zoom account members\u2019 privacy and data, but as always, it\u2019s vital for each user to exercise caution and vigilance in their online activities.<\/p>\n\n\n\n<p>The Information Security Office and the Zoom Support team have identified multiple domains as security threats and barred them from participation in VCU Zoom. In addition working with the vendor support team, a feature was added earlier this month which analyzes joining patterns, IP address and other behavioral indicators of bot activity to prevent unauthorized or malicious automated programs from joining and disrupting meetings.<\/p>\n\n\n\n<p>Ultimately, however, the MVP when it comes to effective meeting security is the meeting host, operating with a sense of alertness and preparation. One of the most critical components of this mission is to support the success of our students. I am very happy to share some information on a couple of new services for Fall 2025 that will help to drive student success, but I also want to share one of the highlights of this summer that also demonstrates our commitment to our students.<\/p>\n\n\n\n<p><strong>VCU TS Summer Internship program<\/strong><\/p>\n\n\n\n<p>This summer, VCU TS offered 5 paid student internships.\u00a0 The internships went from early June to early August (8-10 weeks) and involved working 15-20 hours per week. Each intern was assigned to a full time IT mentor who developed an 8 week internship project plan prior to the start of the internship and dedicated time and effort to mentoring a student. The IT mentor was also responsible for connecting the student with the appropriate system access, data access, staff resources, etc. to accomplish the internship goals. After a kickoff meeting at the Technology Operations Center held on June 2, the interns worked on their assigned projects from June through July, meeting with their IT lead at least once a week to review progress and obtain feedback and support. On August 1, a meeting was held in which the interns provided a final project presentation to their mentors and TS leadership and formally handed off their project work.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"270\" src=\"https:\/\/blogs.vcu.edu\/cio\/wp-content\/uploads\/sites\/659\/2025\/08\/image-1024x270.png\" alt=\"\" class=\"wp-image-341\" srcset=\"https:\/\/blogs.vcu.edu\/cio\/wp-content\/uploads\/sites\/659\/2025\/08\/image-1024x270.png 1024w, https:\/\/blogs.vcu.edu\/cio\/wp-content\/uploads\/sites\/659\/2025\/08\/image-300x79.png 300w, https:\/\/blogs.vcu.edu\/cio\/wp-content\/uploads\/sites\/659\/2025\/08\/image-768x202.png 768w, https:\/\/blogs.vcu.edu\/cio\/wp-content\/uploads\/sites\/659\/2025\/08\/image.png 1284w\" sizes=\"auto, (max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p>I attended both meetings, and I cannot say enough about how impressed I was with the quality of work our interns did as well as their dedication to learning from this opportunity.\u00a0 I am also grateful to the many TS staff who took the time to devote to this program, and I know both the interns and TS greatly benefitted. From one of the interns: <em>\u201cI was shown many resources even outside of VCU for the field I interned in. I appreciate this because it allows me to continue to learn even after the internship is over. Both of my mentors worked with me on areas I wasn&#8217;t as familiar with and gave me a good foundation as well.\u201d<\/em> From another: <em>\u201cMy mentor accelerated my learning by guiding root-cause debugging instead of giving answers, setting a high bar in code reviews, and coaching me on communicating impact. He gave me autonomy, which built confidence and ownership.\u201d<\/em>\u00a0\u00a0<\/p>\n\n\n\n<p>We are now working on building and expanding upon this program and will definitely make this a normal part of our operations.\u00a0 And it\u2019s also important to recognize that much of what we accomplish in TS is due to our excellent student employees who work on a daily basis across multiple areas.\u00a0\u00a0<\/p>\n\n\n\n<p><strong>New for Fall<\/strong><\/p>\n\n\n\n<p>I am very excited about new features now built into the <a href=\"https:\/\/mobile.vcu.edu\/\">VCU Mobile<\/a> app and launched earlier this month.\u00a0 With the introduction of Day-at-a-glance, one screen that integrates data from multiple sources, students can now see everywhere they need to be and everything they need to do on their mobile device at any time. With many other new great features and integrations with other services, VCU Mobile is a personalized and dynamic mobile hub for students, staff, and faculty, allowing us to better serve the diverse needs and experiences within the population we serve.\u00a0\u00a0<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"566\" src=\"https:\/\/blogs.vcu.edu\/cio\/wp-content\/uploads\/sites\/659\/2025\/08\/image-2-1024x566.png\" alt=\"\" class=\"wp-image-343\" srcset=\"https:\/\/blogs.vcu.edu\/cio\/wp-content\/uploads\/sites\/659\/2025\/08\/image-2-1024x566.png 1024w, https:\/\/blogs.vcu.edu\/cio\/wp-content\/uploads\/sites\/659\/2025\/08\/image-2-300x166.png 300w, https:\/\/blogs.vcu.edu\/cio\/wp-content\/uploads\/sites\/659\/2025\/08\/image-2-768x425.png 768w, https:\/\/blogs.vcu.edu\/cio\/wp-content\/uploads\/sites\/659\/2025\/08\/image-2.png 1392w\" sizes=\"auto, (max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p>Another exciting new application is Career Works.\u00a0 Developed with Student Enrollment Management and Student Success (SEMSS), this application has just gone live and can be used by students and their advisers to manage and track progress on activities and milestones students need to complete in order to successfully navigate their personal career and professional development. This includes tracking job fair and career management event attendance, adviser appointments, student employment and internships, credentials earned, and much more. Applications are being developed and enhanced, classrooms are being refreshed, and infrastructure is being upgraded. We also have teams working on processing pay increases and preparing for fiscal year end closing.  Of course, this happens as we continue all of our normal operations and hopefully get some summer vacation time on the books. For this month&#8217;s entry, I&#8217;d like to highlight our knowledge management initiative as well as report on a successful event held in May.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">The VCU IT Knowledge Base &#8211; It all starts with search<\/h2>\n\n\n\n<p>This spring, a team of VCU Technology Services (VCU TS) knowledge experts launched the <a href=\"https:\/\/knowledgebase.vcu.edu\">VCU IT Knowledge Base<\/a>. Years in the making and the result of team members hard work across many VCU TS departments, this is the foundation of our desire to provide a better experience for the VCU community. Our other support pathways, including the <a href=\"https:\/\/ts.vcu.edu\/it-support-center\/\">IT Support Center<\/a> and <a href=\"https:\/\/go.vcu.edu\/ramscentral\">RamsCentral<\/a>, will still exist to provide excellent support as always, but we want to give community members the tools to find answers themselves right when they need it.<\/p>\n\n\n\n<p>This is accomplished through the implementation of a knowledge management framework called <a href=\"https:\/\/www.serviceinnovation.org\/kcs\/\">Knowledge-Centered Service<\/a>, or KCS. It&#8217;s all about capturing and improving knowledge as work happens \u2014 when a tech support agent or service owner solves a new issue, we make sure that solution is documented, searchable, and reused.<\/p>\n\n\n\n<figure class=\"wp-block-image is-resized\"><img decoding=\"async\" src=\"https:\/\/lh7-rt.googleusercontent.com\/docsz\/AD_4nXfYhmbGqS1puZvr_YwK_okbSFxIWngMGwXPt4SZwQOiEf3yO6HYJynUfDLb3VywQrMorWa9EGvaLUsv2wR5_NE1p-GtrT1F_IL4HI6GTo5hqDCYZCHQGtQrfuyZ4G9LNaU7E7z4?key=zDf1BOpyCOhYoJl6qx4Cjw\" alt=\"A collage of KCS-aligned organizations, e.g. Dell, JMU, F5, The University of Edinburgh, etc.\" style=\"width:597px;height:auto\" title=\"A collage of KCS-aligned organizations\" \/><\/figure>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p><sub>\u2192 VCU Technology Services joins a large family of KCS-aligned organizations. These are just a few examples.<\/sub><\/p>\n<\/blockquote>\n\n\n\n<p>KCS enables Technology Services to provide faculty, staff, students, and community members with up-to-the-minute solutions that are easy to find and available exactly when they need it most. KCS-based knowledge management uses our team members&#8217; expertise along with community feedback to build a knowledge base that enables quick and accurate solutions for common issues. With KCS, everyone will benefit from more effective support and access to a robust collection of consistently updated solutions, tailored to their needs just when they need it.\u00a0<\/p>\n\n\n\n<p>The VCU IT Knowledge Base tool was selected to provide a comprehensive platform that optimizes our investment in knowledge management. This tool is deeply integrated with KCS practices, encompassing knowledge quality assurance, content standardization, and analyst coaching. This service delivers a complete solution, enabling seamless knowledge delivery across all our channels.<\/p>\n\n\n\n<p>It all starts with a search. The knowledge base is built on natural language and understands what you mean when you write it. Just type what you need and let the knowledge management service provide the answer.<\/p>\n\n\n\n<figure class=\"wp-block-image is-resized\"><img decoding=\"async\" src=\"https:\/\/lh7-rt.googleusercontent.com\/docsz\/AD_4nXfBlDjfSMvuL5rFvbpd45SLHCs_1GsP0Uj96GLw9ULN3_I4po6aXwBRmBjYvg5p7m5cflpECgecBQQBfw1XX1PXFD3cxLNR3BtttuGJT0slQKMpUFyHcQ6wevV9sImL6ue3jTIE?key=zDf1BOpyCOhYoJl6qx4Cjw\" alt=\"\" style=\"width:685px;height:auto\" \/><\/figure>\n\n\n\n<p>The VCU IT Knowledge Base service is already integrated with RamsCentral, enabling our analysts to find and apply knowledge articles during support interactions quickly. We\u2019re working to expand these integrations to make support even more seamless. In the future, community members can get answers from the knowledge base by chatting with us on our website, bringing our collective knowledge right to where people need it most. Furthermore, articles will be automatically surfaced during ticket submission, helping community members find answers without waiting. We\u2019ll also make it possible to create new articles directly from ticket resolutions, ensuring that helpful solutions are captured and shared as part of our regular workflow.<\/p>\n\n\n\n<p>The launch of the VCU IT Knowledge Base marks a major step forward in how we support our community. By embracing the KCS methodology and investing in tools that are based on the VCU IT Knowledge Base service, we\u2019re not just improving our processes \u2014 we\u2019re building a smarter, more responsive support ecosystem. As our knowledge base grows and integrations deepen, we\u2019re making it easier than ever for students, faculty, and staff to find the help they need from wherever they are. This is only the beginning, and we\u2019re excited to keep evolving in step with the needs of VCU.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Dell Roadshow<\/h2>\n\n\n\n<p>In May, Dell and VCU TS hosted a product roadshow at the Student Commons, bringing together members of VCU\u2019s IT community from across both campuses. With Cherwell, we mitigated this by using multiple outbound email accounts for different activities. RamsCentral, however, is limited to one outbound account. Our initial workaround for this proved problematic after launch, so we&#8217;ve since reverted to using native Gmail and reevaluated our communication strategy from RamsCentral.<\/li>\n\n\n\n<li><strong>Process Alignment:<\/strong> RamsCentral is built around a <strong>Request Management<\/strong> process, while our Cherwell integration was centered on <strong>Incident Management<\/strong>. While not inherently an issue, this required us to reimagine some business workflows, especially since we can convert a request to an incident, but not the other way around.<\/li>\n\n\n\n<li><strong>Routing Issues:<\/strong> We&#8217;ve also addressed various routing issues as they were reported, ensuring smoother operations over time.<\/li>\n<\/ul>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\" \/>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>What&#8217;s Next for RamsCentral: Building for the Future<\/strong><\/h2>\n\n\n\n<p>We&#8217;re continuously enhancing RamsCentral, with several exciting developments underway:<\/p>\n\n\n\n<p>We&#8217;re actively building out the <strong>Configuration Management Database (CMDB)<\/strong>. We&#8217;ve completed the development of the <strong>Application Inventory<\/strong> and are continuing to develop the <strong>Server and Endpoint Configuration Items<\/strong>.<\/p>\n\n\n\n<p>We&#8217;re also working closely with our vendor to develop comprehensive <strong>Reporting, Survey, and Process Adherence Review Dashboards<\/strong>. Beyond that, we&#8217;re exploring the integration of an <strong>AI-powered chatbot<\/strong> to enhance knowledge retrieval and leverage other benefits AI can provide in the ITSM space. The new RamsCentral service supports the following processes:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>IT Request Management<\/li>\n\n\n\n<li>IT Incident Management<\/li>\n\n\n\n<li>IT Change Management<\/li>\n\n\n\n<li>IT Knowledge Management<\/li>\n\n\n\n<li>HR Case Management<\/li>\n\n\n\n<li>HR Knowledge Management<\/li>\n<\/ul>\n\n\n\n<p>Besides a significant user interface update, the customer-facing portal also upgrades the customer experience with a streamlined and intuitive redesign of the IT Service Catalog, essentially a service picker for the customer. We moved from over 1,200 service items in the previous system to under 400 in RamsCentral at the time of launch. This is a better experience for the customer while leading to fewer misdirected tickets to analysts, promoting faster and more efficient service. The ITSM Office team is continuing its efforts to further simplify these options and improve user experience for the customer and analyst.\u00a0<\/p>\n\n\n\n<p><img decoding=\"async\" width=\"382\" height=\"194.29723082115788\" src=\"https:\/\/lh7-rt.googleusercontent.com\/docsz\/AD_4nXdl8XcsicmXyu7yHBpTWvgf5WvpEGvjBQWSpptUdNnh7vrjuFZIpGlAJBKT-p-lzIyJa5sKuwg98st9muRtg7ZIYPBpO4WYtyNeyIliUG899tcVAyTYfnupn8L9SxtwyKj9WFMVIgSUyFhNEFLamOuJ_Qjf?key=OS0LUeDSe95h1ByZOITSGw\"><\/p>\n\n\n\n<p>After launch, the ITSM Office addressed email routing issues that could not be tested pre-launch and completed a redesign of the email workflow. This new workflow is designed to promote consistent mail delivery and consumption. Additionally, the ITSM Office team implemented post-launch improvements in form design, team composition, and other features.<\/p>\n\n\n\n<p>As we reach a stable state, the ITSM Office has several improvements and development efforts planned. The primary focus is the launch of Asset Management and the Configuration Management Database in RamsCentral , which is expected by the end of the year.  The team will then work on Mobile Self Service, Mobile Analyst capabilities, AI enhancements, and improvements to Knowledge Management integration.<\/p>\n\n\n\n<p>If you have any questions about RamsCentral, please contact the ITSMO at <a href=\"mailto:ITSMO@vcu.edu\">ITSMO@vcu.edu<\/a>.<\/p>\n\n\n\n<p><strong>Decommissioning of Lon-Capa&nbsp;<\/strong><\/p>\n\n\n\n<p>After careful planning and consideration and with the help of faculty and key stakeholders, the decision has been made to decommission the Lon-Capa system. Lon-Capa has been used at VCU for many years as a solution for STEM learning needs, but in recent years it has been plagued by unyielding usage, support, and security issues. The decommissioning will take effect on July 1, 2025, with no new course creation requests accepted after the Spring 2025 semester.<\/p>\n\n\n\n<p>M\u00f6bius, a cloud-based learning platform by DigitalEd, will replace Lon-Capa and will offer enhanced features for creating and deploying STEM course materials. M\u00f6bius will be accessible via Canvas and available to all faculty, staff, and students. As I write this it&#8217;s still 85 degrees out, but it is definitely starting to look like Fall here at VCU.  We are now in the home stretch of our network and data center migration from the Pocahontas building to the new Technology Operations Center, and we continue to make progress on multiple projects and initiatives.  For this month&#8217;s entry, I&#8217;d like to share an update from the data network team as well as provide some information about VCU&#8217;s DMARC initiative from the Collaboration Services team.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Fall 2024 Network View<\/h2>\n\n\n\n<p>Over the past 12+ months, the Infrastructure Services team at VCU has been busy building advanced networks to support the new more modern data center located in the newly-built Technology Operations Center (TOC). This has been a major undertaking in and of itself not to mention keeping the network and data centers at Poca and Harris Hall functioning normally at the same time.\u00a0 From the beginning a motto was developed: \u201cIf we do it right, no one will know.\u201d\u00a0 For the most part this has rung true due to the many hours of preparation and middle-of-the-night network changes. <\/p>\n\n\n\n<p>As part of outfitting the new data center, we have deployed an entire new MPLS (Multiprotocol Label Switching) network core, and in the process, we have more than doubled its speed and capacity from 40Gbps to 100Gbps. New edge switches and internet routers were also deployed that now allow 100Gbps bandwidth utilization for network traffic headed over to the internet.\u00a0 The internal firewall-facing routers were all upgraded with 100Gbps links, and half of them were moved into the new TOC data center. This allowed us to build a new data center fabric that provides us the ability to move workloads from one data center to another reliably and quickly. The majority of this work was done after the end of the spring semester in May.<\/p>\n\n\n\n<figure class=\"wp-block-image is-resized\"><img decoding=\"async\" src=\"https:\/\/lh7-rt.googleusercontent.com\/docsz\/AD_4nXd1iqgopQZzIPxJjXcPCiEcDMD9IwDCoUBsf4MAnhfXtr7WQpAwv0NhGk4PGMhnD14PhreYWuO58ZaZpN74ubhq7IpEne3BCpyph08J_-MlUeJUmGAMnSj_7u3ZzH0bF3QtXf6krvTxHkOOTy65tabu1pyR?key=A2TKQI5cpLhZK3VS9FnMMg\" alt=\"\" style=\"width:810px;height:auto\" \/><\/figure>\n\n\n\n<p>As we close in on the finish line of this historical project there are still a number of milestones to reach, but we are seeing the benefits of this work now as we look at the amount of volume the network has handled at the start of the fall semester. The newly installed edge switches and the internet routers downloaded from the internet 59.0 TeraBytes (TB) of data and uploaded 12.1 TB on Aug 19th, 2024 (as shown above) .\u00a0 To give this some context, during the end of the last semester\u2019s finals week, we saw 45.5 TB of downloads and 17.9 TB of uploads. Before the start of this year\u2019s fall semester, we saw 27.9 TB of downloads and 6.7 TB of uploads.  Our network continues to deliver!<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">DMARC Initiative<\/h2>\n\n\n\n<p>The Collaboration Services team is working toward bringing VCU\u2019s email into DMARC compliance. DMARC stands for <strong>D<\/strong>omain-based <strong>M<\/strong>essage <strong>A<\/strong>uthentication, <strong>R<\/strong>eporting &amp; <strong>C<\/strong>onformance. It\u2019s a powerful tool that helps combat phishing scams and safeguard inboxes. <\/p>\n\n\n\n<p><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/lh7-rt.googleusercontent.com\/docsz\/AD_4nXd1rXKWdPQymAm2TtBaVuANvJAUToMQl6FQfjagRaoBakaWjn824qZNaJBdbK2MQab0ln7OrO-mlx4ey-w4mTAGeWJGNKtE4hfX3731S-P8m_FJNuHo6kfwopC1NRPay3okyWucU0j39gY3ihQ5vnTwLkFH?key=GapVFlCbPXJUqTWXbBPjTg\" width=\"624\" height=\"187\"><\/p>\n\n\n\n<p>By default, anyone can send an email pretending to be someone else. 90%+ of all cyber attacks involve fake email. The VCU community is continually plagued with fake job offers and a variety of phishing scams that can result in the loss of personal and university money. Implementing DMARC will address VCU\u2019s email identity crisis by halting the use of our vcu.edu domain and subdomains unless properly authenticated.\u00a0<\/p>\n\n\n\n<p>The Collaboration Services team engaged <a href=\"https:\/\/dmarcian.com\/\">Dmarcian<\/a> in January, 2024. The insight gained through the use of Dmarcian\u2019s dashboard and tools has allowed us to see more clearly what is happening \u201cbehind the curtain\u201d of inbound email. We\u2019ve identified around 75 active communication platforms and university services that were not properly configured to send outbound email, which could result in them being quarantined or rejected by others enforcing DMARC policy. Working together, the Network Services and Collaboration Services teams have made the necessary DNS entries and configuration changes to bring these senders into DMARC compliance.&nbsp;<\/p>\n\n\n\n<p>We are gradually implementing DMARC to minimize disruption for users. We\u2019ve monitored since January and worked directly with mass mail senders to bring them into compliance. By the end of September, we&#8217;ll begin quarantining 25% of unauthenticated emails and gradually increase this until we begin rejecting 100% of unauthenticated email in January, 2025. The rollout is designed to ensure minimal impact on the user&#8217;s email experience. DMARC itself won\u2019t cause delays in receiving legitimate emails. VCU was the first university in Virginia to earn the designation of &#8220;Adobe Creative Campus&#8221;, leading to a VCU Enterprise Agreement that provides VCU faculty, employees and students access to the tools. Making digital literacy a priority for all, these apps become an avenue for students to practice digital literacy through critical thinking, problem solving, and creative communication.<\/li>\n\n\n\n<li><a href=\"https:\/\/go.vcu.edu\/ai\">Generative AI<\/a> tools offer exciting possibilities for our learning, work and personal lives. VCU has licensed Microsoft Copilot, a generative artificial intelligence chatbot for all faculty, staff, and students to use for free. For more information about using generative AI tools and logging into Copilot, please review our VCU AI Guidelines page: <a href=\"https:\/\/go.vcu.edu\/ai\">https:\/\/go.vcu.edu\/ai<\/a>&nbsp;<\/li>\n\n\n\n<li><a href=\"https:\/\/maps.vcu.edu\/\">Campus Maps<\/a> is a new 3D interactive map service.<\/li>\n\n\n\n<li><a href=\"http:\/\/classroomtech.vcu.edu\">Central Classroom Technology Support website<\/a>\u00a0equips faculty with information about the technologies available in each of the centrally managed classrooms on both campuses. In-class support and consultations for faculty are available to help get them acclimated with the technologies they will be using in their classrooms.<\/li>\n\n\n\n<li><a href=\"https:\/\/learningsystems.vcu.edu\/canvas\/instructors\/ellucian-ilp-meets-canvas\/\">Ellucian Intelligent Learning Platform (ILP)<\/a> acts as a bridge, synchronizing and streamlining data transfer between Banner and Canvas. Prior to the Spring 2024 semester, Academic Technologies and Administrative Systems partnered to plan and successfully implement Ellucian ILP.&nbsp; With real-time updates for enrollments and grades, Ellucian ILP introduces a new era of efficiency.<\/li>\n\n\n\n<li><a href=\"https:\/\/ts.vcu.edu\/askit\/university-resources\/eservices\/\">eServices<\/a> provides self-service access to Ellucian Banner Self-Service 9 applications for VCU students, faculty, and staff. It&#8217;s worth noting that eServices offers direct access to various related systems such as College Scheduler, Degree Works, Handshake, Make-A-Payment, and the Navigate system.
